Excess information creates more than storage challenges. It can increase risk, complicate compliance efforts, reduce employee productivity, and limit the effectiveness of AI initiatives.

Big Box Storage providers play an important role in a successful Records Management program, and getting the most value from these services requires the right strategy.

Before beginning a large-scale scanning initiative, organizations should be prepared to answer:
✅ Can automated retention and disposition strategies be supported?
✅ What metadata will make them searchable and usable?
✅ How will retention requirements carry over to the digital records?
✅ Who will have access and where will the documents live?
✅ How will duplicates and ROT be prevented?
✅ Can your current systems handle the additional volume?

Scanning eliminates the box. A strong information strategy makes the content valuable.

Geoff Erwin, originally from Vancouver, BC, Canada, brings a Computer Science background specializing in programming. After coming to America in 2003, he joined ViaTRON Systems, Inc., a pure document scanning company that digitizes paper, large-format materials, microfilm, and microfiche. ViaTRON is not a storage provider—it shreds or returns boxes after digitization. Since 1990 the company has scanned billions of images for government and private-sector clients of all sizes nationwide, working with box storage partners large and small.

Amanda Mortimer is a founding member of Innovative Development and was responsible for setting up the company Human Resources and employee development programs. Ms. Mortimer has her MS in Human Resource Development and BA is Psychology with a concentration in Industrial Organizational Psychology. Innovative Development helps organizations prepare for the data and cloud side of physical records transformation by creating the governance, structure, and processes needed before large volumes of scanned documents enter the environment.
